TERMS AND CONDITIONS

Our way of working and serving at Machu Picchu Peru Trip SAC is to be as clear, punctual and transparent as possible with our clients. On this page.

Regarding our conditions of sale

These conditions of sale apply to the services offered on this site. Both our Agency and the hiker undertake to respect them if the latter chooses our services. It is up to the hiker to read, understand and accept these conditions and any online reservation implies respect for these conditions. Our Agency cannot be held responsible if the hiker ignores or misunderstands our conditions.

Regarding our Rates
For our clients who DO NOT have Peruvian nationality All rates are expressed in US dollars and are subject to change without prior notice.

For our Clients with Peruvian nationality, they are expressed in soles.

They may also be expressed in other currencies as an indication; in the latter case, the amount indicated is an estimate based on an average and rounded exchange rate. The only really valid prices are the prices in US dollars, and in the case of Peruvians in soles indicated throughout the Site as well as the prices in other currencies indicated in the payment forms where the exchange rate applied will be considered definitive.

Regarding reservations and price freezing:

Once the payment has been made, either of the value of the minimum reservation or of the total cost… THE PRICES ARE FROZEN for a whole year or for the time that the personalized contract indicates. This means that the prices will not undergo any change, even if the rates and/or exchange rates have changed between the date of payment and the start of the tour.

Regarding the Changes after the reservation .

When making a reservation request, the hiker enters a series of data, such as the date of the Trek, his name, etc. After making the payment of the online reservation, some data can be changed, others cannot:

  1. The date cannot be changed . A reservation is personal and for a specific date. The reserved spaces are not transferable or modifiable and a reservation made for a certain date cannot be transferred to another person, in any case. So this is lost. That is why it is not possible to change the date once the reservation has been made. If, for any reason, the hiker wishes to change the departure date of his Trek, he must agree to pay the proportional % of the penalties, the purchases made up to the date on which the changes are being requested, The change of date cannot be considered as a case of force majeure and a possible cancellation will be subject to the conditions described in the chapter “Cancellations and refunds”.
  • The people participating in a tour cannot be changed. So, it is not possible to give your space to another person.
  • Free options such as vegetarian meals or the language of the guide can be changed up to 48 hours before the tour.

AS FOR THE DATA TO MAKE A RESERVATION

Anyone interested in making a reservation must provide their identity documents or passport.

These data are essential because the Cusco Ministry of Culture requires that the full name, date of birth, as well as the passport number or an identity document (hereinafter referred to as document) be provided for each hiker. for Peruvians (DNI) or foreigners from bordering countries that have a free circulation agreement with Peru. We cannot accept any other document because it would be rejected by the authorities. This same document is requested at the entrance doors of each tourist attraction so that there is no usurpation of identity. The excursionist agrees to carry his document on the days in which the tours take place and must ensure that it corresponds to the one used during the reservation.

In order to avoid any problem, we ask each of the excursionists to take a photocopy of the document they used to reserve and to keep it until the start of the tours and their respective end.

IN WHAT CASES IS THE RESERVATION CANCELED?

  • If the hiker communicates an incorrect or incomplete document number to us.
  • If the document is renewed between the date of the reservation and the date of the Tours, the hiker agrees to provide us with a copy of the old document at least 48 hours before the start of the tours to present it at the entrance of the tourist attractions with the new document. . Otherwise, access may be denied by the authorities responsible for the archaeological site.
  • In case of loss or theft of the document shortly before the start of the tours, the hiker agrees to provide us with an official declaration of loss or theft as well as the data of his new document, at least 72 hours before the start of the tours . Otherwise, access may be denied by the authorities responsible for the archaeological site.

These measures are intended to guarantee the hiker that the Peruvian authorities will not prevent him from entering. In case of non-compliance with the points indicated above and in case of rejection of the document by the authorities in carrying out the tours, the hiker will not be able to demand any refund and will be prevented from entering, not by our Agency, if not by the Peruvian authorities.

If the hiker obtained a student discount, he is obliged to present to the Authorities, in addition to his passport, his original ISIC card. Otherwise, you must pay the price difference in relation to the adult rate at that time, as indicated in article 6.21 of Resolution 001-2005-UGM-CD on the Procedure for the sale of spaces and access to the Network. of the Inca Trail.

Itinerary
Itineraries are planned with great care; however, for operational reasons, it may be necessary to change the order of activities in the specified itinerary or route. Although such cases are rare, in general the itinerary should only be taken as a basic reference.

REGARDING CANCELLATION OF RESERVATIONS AND REFUNDS

If the excursionist wishes to cancel or suspend his order, for any reason, he must do so through the forms provided for this purpose that are available on this Website. Orders will be processed immediately.

  • If a cancellation request is received 42 days or more before the start date of the tours, the refund will be up to a maximum of 70% of the total amount; depending on the purchases made before the cancellation, that is: (these purchases could be: flight tickets, train tickets, tickets to attractions and others) in case these purchases have not been made … the penalty that would be paid would be only an equivalent of 30% of the total cost that corresponds to administrative and banking expenses.
  • No refund will be made if the request to suspend the tours is received less than 2 days before the start date of the tours, in case of no-show of the hiker(s) or in case of cancellation during the trip.
  • If a reservation cancellation or pre-reservation request is received before you have made the flight purchases and income management before the Ministry of Culture Cusco on the first business day after the request is made or at the beginning of the new season , the reimbursement will be of the total amount paid, less a penalty of 20% of the amount paid, with a minimum, for administrative and banking expenses.
  • Some services may be interrupted or canceled at the last minute for natural reasons (such as bad weather, landslides or others) or human reasons (such as strikes or others) independent of our will or that of our suppliers. In this case, no refund will be made. However, our Agency will try to satisfy the Client in the best way.
  • In case of reservation without real availability of spaces, the refund will be the full amount paid, without any expense.

If a refund of part or all of an amount already paid must be made, as a result of an error beyond our Agency or our payment system or as a result of the excursionist’s choice, the refund will then be the full amount paid minus a penalty of 20% of the amount paid, with a minimum for administrative and banking expenses. We can cite as an example a double reservation request, a reservation request partially or totally canceled immediately afterwards, an error in the chosen options, etc.

REFUND METHODS

All payments are made online, by credit card. In case of reimbursement on our part, the corresponding amount will be deposited in the account of said card.

UNAVAILABLE AFTER BOOKING

After having reserved and paid the corresponding amount by the hiker, our Agency will make the actual reservation before the Cusco Ministry of Culture as soon as possible. If for any reason, due to our staff or a third party, the reservation cannot be made on time and there are no more spaces available, an email will be sent to the client immediately proposing:

  • Choose another travel date, depending on availability. This change does not generate any cost, even if the rate of the new chosen day is higher.
  • Get a refund. In this case, our Agency will reimburse the full amount paid, without any additional expense.

IMPOSSIBLE TO RESERVE

During your online reservation request, the client undertakes to provide us with true and complete information so that we can make the reservation. If, after making the payment, these data or any other reason falling under the responsibility of the client prevent us from making the reservation with the authorities, such as for example having given us an incorrect passport number or having obtained a discount without having a justification valid, we will try to resolve the problem with the customer. If, despite our efforts, it is impossible to make the reservation, then we will refund the client the total amount paid less a penalty of 20% of the amount paid, with a minimum corresponding to bank and administrative expenses. We can cite, as an example, the fact of giving us an incorrect passport number and never giving us the correct one; or have mistakenly obtained a student or child discount and refuse to pay the difference.

PAYMENT METHODS

Unless special treatment has been agreed in writing, all requested services must be paid in advance as detailed below. Due to the large influx of people interested in entering Machu Picchu, most payments and income reservations are made online and it is not possible to make the payment by any other means other than online electronic payment. Our system accepts different credit / debit cards and only those are accepted.

Regarding Personal checks, telephone orders, bank transfers or other types of payment are only accepted in person or direct payment at the office

OPTIONAL SERVICES

Our services include everything that is described on the indicated pages, but the traveler also has the possibility of taking additional services, such as renting sleeping bags or motorized mobilities or other means of transport, etc. The prices of these services will be clearly indicated at the time of booking and the excursionist will not be able to claim reimbursement for these additional services separately, neither before nor during the excursion. If you wish, once in Cusco you can request these services and pay them directly at the agency; however, this is not highly recommended as services are subject to availability.

Claims
If the client considers it necessary to make a claim in relation to our services after our services have ended, he may do so within a period of 91 days from the date of the end of our services. Only our Agency will be able to judge the legitimacy of the claim and possibly resolve it directly with the client. After this period of 90 days, no claim of any kind will be accepted.

We do not have a “If you find cheaper, we will refund the difference” policy. Our Agency or others may, for many reasons, apply a price variation from one tourist to another, even for the same service and within the same group. In no case can the client demand a partial or total refund under the pretext of having paid more than another tourist or having seen it cheaper. Our prices are clearly published on our pages and it is up to the client to judge and compare them before booking. The fact of booking with the published prices implies acceptance of them. In short, no claim can be made about our prices.

RESPONSIBILITY
In all travel arrangements, we act on behalf of our clients, organizing on their behalf the means of transportation, accommodation or other tourist services required. Therefore, we do not assume responsibility in case of accidents, losses, delays or interferences with the tour due to force majeure or other events that do not involve our responsibility, especially with respect to programs and schedules.
